How do I set up the Jury voting galleries?

At the start of the new season, you will need to create the individual category galleries that will be used on the jury pages after applications close.

  • Look for the menu item on the WordPress admin menu called “Gallery”. Click on “Manage Galleries” from the submenu that displays.
  • You will see a complete list of the current galleries, including all of the old category galleries. Click on the green “Add new gallery” button at the top of the list.
  • Make sure that the options are checked to match this sample screen:
  • Fill in the gallery name with this format: “Current Year – Category” (ex. 2018 – Kids and Pets) and click OK.

Once all the galleries are created, and after applications are closed, you will need to populate the galleries with all of the photos from the current years applicants. This is done using an FTP program (Filezilla is the easiest, I’ve found). You will need to browse to the server’s GravityForms upload folder (it will be located in this directory: “/chula18/wp-content/uploads/gravity_forms/”, but you’ll have to find the folder for this year’s specific form. It will start with the form ID number followed by a random string of characters (ex. “36-68a773a4a4f000e39653321eb6a3e04c/”).

  • In the upload folder, you will find all of the artists’ images with similar names. Format: “category-cafidnumber-originalfilename.jpg”
  • Download all of the files to your computer
  • Group the files by category and upload them back to the Jury Gallery folders for the corresponding category (ex. “/wp-content/gallery/2018-kids-and-pets”). You will need to do this for each of the categories to be judged.
  • After you are finished, go back to the WordPress admin area, and back to the “Manage Galleries” page. Click on one of the new galleries, and then look for the “Scan folder for new images” button at the top and click it. It will find all of the images that you added to the folder and add them to the gallery.
  • Repeat the last step for all of the new galleries.
  • Wahoo!

You’ll need to add the new gallleries to the Jury Album so that they will appear on the Jury Review page:

  • Look at the “Gallery” menu on the left side of the WordPress admin, and click on “Manage Albums”
  • From the dropdown at the top, select the “Jury Review” Album (ID 9).
  • On the left column, you’ll see last year’s galleries listed in the album. You’ll need to click and drag the old galleries to the middle column (this removes them from the current album).
  • Then, click and drag all of the current year’s galleries to the left column. You can rearrange their order by clicking and dragging the green boxes in the desired order.
  • Click “Update” at the top of this page.
  • You’re done! Now, the Jury Review page will show the updated gallery and be ready for voting.

Lastly, you’ll need to register new Users for each of the current year’s jurors. They should be given “subscriber” access and the link to the Jury Review page. Once they log in, they will be able to vote on each of the images within the gallery.
